How Incontra handles personal information
This explains what personal information we collect, why, who sees it, and what you can do about it. It covers three groups: people who visit this website, people we email about a business service, and our clients.
Last updated: [date]
1. Who we are
Incontra is a trading name of Abdulrahman Hashem, based in Doha, Qatar [legal entity name, once registered]. We run cold email outreach for B2B businesses and book the meetings that fit criteria agreed in writing.

2. If you visit this website
- We do not use cookies, analytics or advertising pixels. Nothing on this site is loaded from another company's servers, except the booking calendar described below, and only once you open it.
- Our hosting provider, [Cloudflare, once the site is live; confirm], receives your IP address and basic technical details (the page you asked for, your browser, the time) each time a page is requested. It needs these to deliver the site and keep it secure. It may keep short-lived logs for that purpose. We do not use this information to identify you.
- Our booking calendar is provided by Calendly. It loads only when you click a "Book a call" button, and it then runs inside this page. From that point Calendly receives your IP address and browser details, may set its own cookies, and follows its own privacy notice and cookie settings. When you book, Calendly passes us your name, email address and any answers you give in the booking form. If you write to us, we receive what you send. We use this to reply and to run the call.
3. If we email you
We contact people at businesses that may need our service or our clients' services, about their work. We email business addresses only.
What we hold
Your name, work email address, job title, company name and website, country or region, the web page where we found your details and the date, a short note on why you are relevant, any reply you send us, and a record if you opt out.
Where we got your details
From the business's own website and other public business sources [list the sources you use]. For people in Canada we use only addresses the business has published itself. Every first email tells you where we found your details.
Why we are allowed to email you
We offer a business service that relates to your role. In the United States we follow the CAN-SPAM rules. In Canada we follow CASL, which allows email to a business address that is published, where the message relates to the person's work. Where data protection laws such as the GDPR apply, we rely on legitimate interest, and we do not email people in countries that require prior consent for business email unless we have it.
Emails we send for a client
When we write on a client's behalf, the email says whose business it is for, and we act on that client's instructions. You can still contact us at the address above about it.
Every email carries our name, a postal address, and a working way to opt out.
4. Opting out
Use the unsubscribe link, or reply and tell us. We stop straight away. We keep a minimal record of your email address so that we do not contact you again.
An opt-out applies to that client's campaigns and to our own outreach. If you complain, or ask us to delete your data, we block you across all clients and our own outreach, and delete the rest of your record.
5. Our clients
For people and businesses that hire us we hold contact details, the written agreement, meeting records and invoices. We keep them for the length of the agreement and for as long as the law requires [period].
6. Who we share information with
- Service providers that help us run the service, under their own data protection terms: hosting [provider], email sending and mailboxes [providers], email address checking [provider], call booking (Calendly), video calls [tool], payments and accounting [tools].
- Our clients, for the campaigns we run for them. They receive the details of meetings we book and the replies behind them.
- Authorities, where the law requires it.
We do not sell personal information, and we do not share it for advertising.
We work from Qatar. Our providers may store information in the United States and other countries [confirm once providers are chosen]. We choose providers that give written data protection terms.
7. How long we keep information
- Prospect lists we are not using are deleted [how soon, for example 90 days].
- When a client agreement ends, that client's lists and reply data are deleted within 30 days, unless the client asks for a copy first. We keep a minimal do-not-contact record and anything the law requires us to keep.
- Opt-out records are kept for as long as we need them to honour the opt-out.
- Billing records are kept for [period required where you register].
8. Your rights
Depending on where you live (for example the EU, the UK, Canada or California), you may have the right to know what we hold about you, get a copy, correct it, delete it, object to how we use it, or restrict it. To use any of these, write to [contact email]. We will check it is you and reply within [30 days]. If you are not happy with our answer, you can complain to your local data protection regulator.
9. Keeping information safe
We limit who can see it, and use two-step sign-in on the tools that offer it [confirm]. Outreach is sent from separate domains that we own, so a problem there does not reach a client's own systems.
10. Children
Our service is for businesses. It is not aimed at children, and we do not knowingly collect their information.
11. Changes
If we change this notice we will update this page and the date at the top.
